Open and run the centre

The student journey from enquiry to certificate

Every step a student goes through at a member centre, from the first enquiry and demo class to admission, study, practice tests, the centre exam and the certificate.

Thinking of your centre from the student side shows you where people get lost. If every step is clear, students stay, finish and tell others. This article follows a student from the first phone call to a certificate in hand.

Step 1: the enquiry

A student or parent calls, messages on WhatsApp or walks in. Answer quickly and politely, ask what they want to learn and when they are free, and invite them to a demo class or a visit. Write down their name, number and interest, and how they heard of you.

Step 2: the visit or demo

Show the lab, the course list and a sample certificate. Let them try something on a computer. Explain the course, the duration, the batch timings, the fee you charge and what is included. Give them time to decide and do not pressure them.

Step 3: admission

Fill the admission form supplied by the head office and note the student details and course. Take the first payment as per your fee card and give a receipt. In the franchise portal, enrol the student with the course, the batch and the admission date. The student gets an enrolment number and a temporary password, and you print the login slip.

Step 4: the first week

Hand over the ID card from the member kit if you issue one, explain the rules, introduce the instructor and show how to sign in to the student portal and change the password. A good first week sets the tone for everything after it.

Step 5: learning in class and at home

Students attend their batch and practise. In the student portal they can read the study material and study books and take timed practice tests and the typing test. Ask them to practise at home or at the centre in free hours. Set small tasks each week and mark them.

Step 6: checking progress

Watch attendance and the practice results in the portal. Speak to the student and, where relevant, the parent if there is a problem. Offer extra help before the student falls far behind.

Step 7: the centre exam

The institute prefers written exams taken in front of a teacher. Fix a date in advance, tell students what to revise and keep the rules fair for everyone. Mark the paper promptly and record marks and maximum marks.

Step 8: the certificate request

For a student who passes, send a certificate request in the franchise portal with the marks, the maximum marks and the exam date. Head office reviews it and issues the certificate, which has a number that anyone can check on the verify certificate page. Certificates come to you by courier, and head office sends the tracking number on the day of dispatch.

Step 9: handing over

Present the certificate and marksheet at a small function, invite parents, take photographs with permission and thank the student. Tell the student how to show the certificate number to anyone who wants to verify it. Never promise that a certificate is accepted for a particular job or course: that depends on the employer or the body concerned.

Step 10: staying in touch

Ask the student what they plan to do next and suggest the next course or a related skill. Invite them to share their story and, if they are happy, ask them to leave a review or refer a friend. Keep a record of those who finish: they are the strongest proof of your work.

This guide is general advice for planning. It states no membership fee and promises no income, student numbers or acceptance of a certificate by any employer. Ask the head office for the current fee and terms in writing, and check local rules and tax with a professional. Use the planner to test your own numbers.
